Once you have created an app in Kuali Build with a form and workflow, you'll be ready to accept responses. However, in order for people to successfully submit a response to your form, you'll need to grant them permissions to do so from your app.
To follow the instructions below, navigate to and open your app in Kuali Build, click the three-dot menu near the name of your app, and choose Permissions.
Once the permissions screen comes up, you can use one of the scenarios below to assign permissions to your app. For more detailed information on permissions, see the Kuali Build documentation.
Note: Even after granting permissions to a group of people so that they can create submissions in your app, most people won't know how to find or access it. Make sure you distribute the link to your form using the share form button in the form tab of your app to the people you'd like to use it.
Allow All Authenticated Users to Submit
Use the instructions below to grant access so that anyone who can log into Kuali Build (i.e. all Faculty, Staff, Students, and Alumni) can create submissions in your app. This is the easiest permission to grant.
Find and check the Create Documents in this App checkbox under the All Authenticated Users header in the permissions page of your app
As soon as you check this box, any authenticated Kuali Build user will be able to submit the app
Allow specific groups to submit (i.e. faculty, staff, student)
Use the instructions below to grant specific classifications of people (i.e. Faculty, staff, and/or students) to create submissions in your app.
At the bottom of the permissions page, find the Add New Role section, and enter a name for your new role in the text box. Example names might be "Faculty/Staff Submitters" or "Student Submitters".
Click Create. A new heading with this role name will appear near the bottom of the permissions page.
Find and check the Create Documents in this App checkbox under the new header in the permissions page of your app. Then, search for the class of user that you'd like to grant permissions to under the Affilliation field, and click the name of the affiliation to add permissions for those users. In the example below, students have been granted access to submit this app. You can add multiple affiliations to broaden the scope of the permissions.
As soon as you check this box, any authenticated Kuali Build user with these classifications will be able to submit the app
Available affiliations are:
- alum (all alumni)
- employee (all university employees)
- faculty (all university faculty, including adjuncts)
- staff (all university non-faculty employees, including temporary staff)
- member (retirees and other non-employee university personnel)
- student (all university students, including DE, undergrad, and graduate students)
Allow Anyone to Submit (Anonymous Access)
Use these instructions if you'd like to allow anyone in the world to submit your form.
Find and check the Create Documents in this App checkbox under the All Anonymous Users header in the permissions page of your app.
As soon as you check this box, anyone with the anonymous link to your app (the share form button in the form tab of your app) will be able to submit your form.
