Group Membership Overview
Cedarville University keeps track of groups of user accounts in order to allow the correct people access to the online resources they are authorized to use.
As often as possible, Information Technology delegates access to Faculty and Staff members to manage the groups associated with their role. For example, an academic department's administrative assistant may be granted access to manage the groups associated with the department.
Other resources that may be controlled by group membership include:
- Charging to certain accounts at copiers
- Access to department OneDrive/SharePoint storage
- Membership in certain email lists
- Access to on-campus and online apps (i.e. Document Imaging, Filebound, CUCMS, etc)
The instructions in this article allow those who have been delegated access to manage groups to add and remove people from groups using the Group Administration System. If you have not been granted access to the Group Administration System, you can request these privileges by submitting an IT request.
Managing Group Membership
To begin managing groups, visit the Group Administration System. You can also find a link to this system in myCU portal, under LDAP Group Membership Admin.
When you click the link, you will be taken to the Group Administration home page. This will show a list of groups which you can manage. Simply click on the name of the group to see the current members of the group.
Add a member to the group (search by last name/first name)
- Click the name of the group from the home page to view the members of that group.
- Find the Add a User to this group section of the page, and begin typing the name, email address, or ID number of the person you would like to add. This will bring up an autofill menu with the people who match your search, with their ID numbers listed.
Note: If you are searching for a very common name combination, but don't know the ID or email of the person you're looking for, you can enter the name in the format lastname,firstname to make the search more specific.
- Click on the name of person you wish to add, and then click Add to Group.
- You should see a confirmation message on the screen indicating the person you selected has been successfully added to the group. If you don't see the new user in the list, see Troubleshooting, below.
Add multiple people to a group (email list)
To add multiple people to a group all at once, you'll need a list of their usernames, IDs, or email addresses separated by commas.
- Click the name of the group from the home page to view the members of that group.
- Copy the email/username list to your clipboard
- Find the Bulk Add Users section of the page, and paste the email/username list in the provided text box.
- Click the Add All To Group button to add the list of people to the group
- When adding a large number of people to a group, the page may take a while to respond after clicking the Add button. Please be patient.
- After adding new people, you should see a confirmation message listing the people who were successfully added. Also in this list will be any errors caused by misspelled email addresses or people who don't exist in our system.
If you don't see any of the new members in the list, see Troubleshooting, below.
Remove people from a group
- Click the name of the group from the home page to view the members of that group
- For each person you'd like to remove, click the Remove button next to their name in the list.
- After removing members, you should see a confirmation message indicating that each person was successfully removed.
Troubleshooting
After adding a person to a group, their name should immediately appear in the list of group members. If a name doesn't appear, try refreshing the page by going back to the Group Admin home, and selecting the group again to view its members.
If a name you added still doesn't appear in the list, you may need to try adding them again. If you are unable to add a person after trying again, please submit an IT Request describing the issue.
