Using SSC Event Room AV Technology

Important Note

  • If the rooms are already configured, do NOT select any of the configuration buttons again. By pressing the room configuration button again when a meeting is happening in another room, it will remove their source selection and any microphones that have been assigned.
  • You must power off the projector when your meeting is finished

Single Room Use

  • Touch Press to start
  • Room configuration page will appear
  • Select the configuration for individual rooms
    • IMPORTANT NOTE: if you select any room configuration while another room is being used, it will reset their room by removing the source they are displaying. To get their display to appear again, they need to select the source they were using.
  • Touch Start System
  • A source and volume page will appear
  • Select the source you would like to display (Lectern laptop is the default)
  • Use the provided HDMI cable with the adapter ring to connect your laptop or tablet
    • Select the appropriate adapter (unless your device has an HDMI connection)
    • Attach the adapter to the HDMI cable
    • Connect the adapter to your laptop or tablet
  • Control the volume either by the laptop or touching the + or - under the source volume
  • You can mute the picture by touching the Video Off button (it will take a few of second to blank the screen)
  • To return to the source, select that source again
  • To mute the audio from the touch panel, touch the “speaker” icon to the left of the volume bar
    • You can always mute your volume on the laptop

Power Off System

  • Touch the Power button in the upper right corner
  • Touch Yes, Shut Down

Camera control

  • This is used when having a Microsoft Teams meeting
  • Select the camera you wish to control
    • Camera 240 is in 240
    • Center Camera is on the pillar
    • Camera 245 is in 245
  • The “plus” sign is the way to control the camera by either tilting up or down and panning it left or right
  • The + icon can zoom in closer to an individual
  • The – icon can zoom out to a wider shot
  • To change a preset
    • Move the camera to the position you want to save
    • Touch and hold the preset number button for 7 seconds
      • If you wish to change Preset 3, press and hold button 3 for 7 seconds

Wireless Microphone

  • You can assign a wireless microphone to the room by selecting it on the Audio page
  • Once it is selected, you can control the volume level by touching the + or – button. The blue volume bar indicates the level
  • You can also mute the microphone by touching the “speaker” icon
  • IMPORTANT NOTE: Be sure you have the microphone in your hand before assigning it to a room. If you select a microphone that another room is using, that microphone will be heard in your room

Playing audio without turning on the system

  • Connect your laptop to the lectern HDMI laptop cable
  • Start playing your music
  • Control the volume level by touching the up and down arrows on the right side of the touch panel
  • You can also control the volume level on your laptop

Joining Rooms

  • 240/241
    • From the touch panel in either 240 or 241
  • 245/246
    • From the touch panel in either 245 or 246
  • 240/245
    • From the touch panel in either 240 or 245
  • All 4 event rooms
    • From the touch panel in either 240, 241, 245, or 246
  • Touch Press to start
  • A room configuration page will appear
  • Select the configuration you need to use
    • IMPORTANT NOTE: if you select any room configuration while another room is being used, it will reset their room by removing the source they are displaying. To get their display to appear again, they need to select the source they were using.
  • Touch Start System
    • IMPORTANT NOTE: The touch panels in a combined configuration will mirror each other and can be used simultaneously
  • A source and volume page will appear
  • Select the source you would like to display
  • Control the volume either by the laptop or touching the + or - under the source volume
  • You can mute the picture by touching the Video Off button (it will take a few of second to blank the screen)
  • To return to the source, select that source again
  • To mute the audio from the touch panel, touch the “speaker” icon to the left of the volume bar
    • You can always mute your volume on the laptop

Videoconferencing via Zoom or Microsoft Teams

  • There are only 3 PTZ cameras in the event rooms
    • 240
    • 245
    • Center pillar for when all 4 rooms are used
  • You must use a microphone with this system
  • Use the provided HDMI cable with the adapter ring to connect your laptop or tablet
    • Select the appropriate adapter (unless your device has HDMI connection)
    • Attach the adapter to the HDMI cable
    • Connect the adapter to your laptop or tablet
  • Attach the provided USB cable to your laptop or tablet
  • On the touch panel
    • Touch Press to Start
    • Follow the procedure for either single room or joined rooms
    • Touch Start System
    • Follow the procedure for selecting the microphone(s) you wish to use
    • Select Camera icon in the upper right section of the touch panel
    • Select the camera you wish to use
      • There is only one selection when using 240 or 240/241 combination
      • There is only one selection when using 245 or 245/246 combination
      • There is only one selection when using 240/245 or all four rooms
      • It will take about 30 seconds for the camera to be visible to your laptop
  • Follow the instruction for Camera Control
  • From Microsoft Teams select the AT-HDVS-CAM for your camera/webcam
  • From Microsoft Teams select the Dante USB Receive (Dante USB/IO Module) for your microphone
  • From Microsoft Teams select the Crestron (Intel(R) Display Audio) to hear the remote participants through the room speakers
  • When finished power off the system by following the Power Off System section
     

SSC 161

To turn on wall mounted display:

  • Press the power button either on the LG remote or the power button on the TV itself

Note: to adjust volume use the volume settings on the display

To connect windows computer to display:

  1. Have HDMI 1 selected as input
  2. Wake up the computer by pressing keys on the keyboard or moving mouse

To connect apple TV to display:

  1. Have HDMI 2 selected as input
  2. Press the power button on the apple TV remote

To connect personal laptop to display:

  • Connect personal laptop to provided HDMI cable 
  • Select HDMI 3 

To connect personal apple device to display:

  • Open control center
  • Select Screen Mirroring
  • Select the apple TV

When you are done:

  1. Log off the computer properly.
  2. Remove all USB devices, videotapes and discs from their appropriate places.
  3. Disconnect any personal devices from display
  4. Power off Apple TV and display.

SSC 220 User Guide

To begin using the SCC Theatre projector:

  1. If the touchpanel is dark, touch it to wake the panel.
    This screen will appear:

  2. Push [Press to Start with screen] to begin the start up process.  A page will appear stating the system is starting.

  3. Select the input button on the Main Menu that you wish to use. 
    The [PC] button will connect the computer in the tech rack with the projector. 
    Select the [Lectern HDMI] button to connect a Laptop or other HDMI output device to the projector.

  4. To mute the video image on the projection screen, push the [Video Mute] button on the Main Menu screen.

  5. To use the DVD player, select the [Blu-Ray] button on the touch panel. 
    Controls for the Blu-Ray DVD player will appear on the touchpanel. 
     
    To return to the Main Menu screen, push the [Close] button.

  6. To show doc cam turn on on the doc cam and select the [Doc Cam] button

  7. To mute the video image on the projection screen, push the [Video Mute] button on the Main Menu screen.

  8. When finished, please push the [Power] button on the top right corner of the Main Menu and select [Power Down].

Troubleshooting:

If an image appears on the local computer monitor but not on the projection screen:

  1. Press and hold the Windows insignia button (two spaces to the left of the space bar) as well as the letter P button. 
    A menu will drop down on the local monitor screen. 
  2. Using the mouse select either the "Duplicate" or "Extended" options to have an image appear on the projection screen. 

If the problem persists after trying this, call x7853 for technical assistance.

Setup for Faculty Meeting in SSC 220 Theatre

Faculty Meeting Setup (SSC 220 Theater)

  • Plug the power from the black metal cart into the floor pocket
  • Put the Owl on the black metal cart
  • Plug the Owl’s power into the power strip of the black metal cart
  • Connect the USB to Gerry’s laptop
    • It does NOT get connected to the tech cart computer
  • Check the audio from the lapel and the handheld
    • Make sure both mics are powered on at the same time to make sure there is not interference between them
    • You can adjust the levels in the sound booth of the theater
  • Lower the screen if it is not lowered already
  • Power on the projector from the touch screen
    • Select the computer and check both audio and video from the computer
  • Connect the long HDMI cable to the AV switcher in the tech cart
    • You will need tech cart keys to open the back
    • Disconnect “HDMI 004” from the AV switcher
    • Connect the long HDMI to the input you just disconnected
    • Run the long HDMI cable to the stage (there should be a table on the stage)
    • Make sure the cable is not a tripping hazard for anyone walking on the floor
    • Dr. White will usually connect his MacBook to this cable
    • Select HDMI laptop on the touch screen to test the cable and input
      • You will need an HDMI tester or a laptop

This section is for Gerry or Admin Assistant

  • Start Teams
  • Make sure the video and audio is set to the Echo Cancelling Meeting Owl
  • Start the recording in Teams
  • Turn off the capture feature
  • Share your laptop screen
  • Make sure your audio is not muted
  • Make sure your video camera is turned off
  • Stop the meeting when it is over

SSC 220 Setups

SSC 220 Theater Tech Rack (front and back connections)

Front Floor pocket

The Theater tech rack may be connected to one of two floor pockets in the room.  One floor pocket is located near the stage in the center section of chairs.  The other floor pocket is in the center section of chairs on the mezzanine floor level.  

The wiring that needs to be connected in the floor pocket from the tech cart is labeled.  Match the floor pocket connection to the labeled wire from the tech cart.  All wires must be plugged in to work properly.  There are more XLR connections in the front floor pocket than there are cables coming from the tech rack. Only connected the labeled XLR cables.

Once all the connections have been made, the av system should be tested.  Turn on the projector, lower the screen, log into the computer, test the computer audio to the room, and then test the microphones to make sure everything is working normally.  If the audio is not working correctly, see instructions below.

220 Mics

The room should have one lav and one handheld mic in the room. (The handheld is kept in a bag on cart beside the rack) .  The mics must be on different frequencies to work correctly in the room.

The room can support the following combinations:

One lav and one handheld mic

Two lavs and/or two handhelds.

The extra mics that make these combinations possible are kept in TYL 110 at Rich's desk hutch.

NEVER PUT TWO MICS WITH THE SAME NUMBERS IN A ROOM FOR USE at the same time.  Doing so will cause the system to malfunction. Remove the extra mics from the room to prevent possible mic conflicts during a meeting.  Store them in TYL 110 until the meeting is over.

Restore the room to normal after meetings requesting special mic set ups are over.

SSC 220 Laptop Set Up for Guest on Stage

Items needed:

HDMI tester

HDMI cable(s)

If an HDMI cable is requested for a speaker on stage, a flexible cable can easily be run from their location to the tech cart if the cart is located in the front of the room.  If the cart is located in the back of the room, the distance makes it more challenging.  The distance from the stage to the back of the room is between 40-50 feet.  We do not at this time own a single cable that will span that distance.  We do own several 25 ft cables that can be joined to span the distance.  (There is one cable that can be found on the peg board that has a male-female connection).  These cables should span the distance between the stage and the cart and then be taped down for safety.  The HDMI cable at the cart would be plugged into the tech cart and selected as the Laptop HDMI on the touch panel.

An alternative wiring scheme

If an Extron transmitter (Tx) and receiver (Rx)  are available, the computer on the stage would be connected with a shorter HDMI cable to the TX.    A 50 ft (or longer) Cat 5e cable would span the distance between the Tx and an Rx located by the tech cart.  A HDMI cable would then connect the Rx to the input on the tech cart.

After wiring the connection (whichever method you choose) use the HDMI tester to verify the connection.  Turn on the tester and wait for an image or test signal to appear on the local screen or projection screen.

SSC 220 Dr. White Mac iOS Device Connections

SSC 220 Audio Troubleshooting:

If there is still no sound after checking the computer output to the speakers a trip to the sound booth is in order.  There is a touchpanel by the sound board that assigns different settings for the room.  Wake up the touchpanel and assign the room to:Classroom (Tech Cart only)


 

SSC 242

To turn the ceiling mounted projector on:

  • Tap the PROJ ON button. The image will appear in about 60 seconds.

To show the tech cart computer image:

  • Tap the PC button.

Note: To show the image only on the computer, make sure the projector is off, and then tap the PC button.

To show the laptop image:

  1. Attach your laptop to the cable provided, and then tap the LAPTOP button.
  2. Check your laptop resolution to make sure it is 1280x800. If the image does not appear, tap FN + F? (e.g., Fn + F8) on the laptop to toggle through the display settings.    

To show a DVD video:

  1. Put the DVD in the DVD player.
  2. Tap the DVD button. The DVD image will appear on the local monitor.

Note: All DVD controls are available on the touch screen.

To show a video source:

  1. Connect the RCA cables to the front rack panel.
  2. Tap the AUX VIDEO button. The image will appear on the screen.      

To black-out the screen:

  1. Press the PICTURE MUTE button.
  2. To display the image, press the PICTURE MUTE button again.

To adjust the volume:

  • Use the volume controls on the touch screen.

Note: The VOLUME MUTE button only mutes PC, laptop, and DVD audio. It does not mute microphone audio.

To preview sources:

  1. Press for two seconds the button that matches the source you want to preview. (e.g., If you want to preview a DVD, press the DVD button.) 
  2. When you are ready to project the source to the screen, press the same button again, but do not hold it.

When you are done:

  1. Log off the computer properly.
  2. Remove all USB devices, videotapes and discs from their appropriate places.
  3. Press the PROJ OFF button.

SSC 244A

To turn on wall mounted displays:

  • Press the power button on the LG remote(Might have to press twice to get all three displays to turn on)

To connect MacPro to the displays:

  1. Wake up the MacPro 
  2. Make sure HDMI 1 is selected on all of the displays

Note: To adjust audio either adjust the Mac's audio settings or adjust the audio mixer in the tech cart.

Note: There are three different LG remotes, to change settings or inputs on a specific display select the remote that goes with the display you wish to change(There are numbers on the back of the remotes 1,2 and 3 from left to right)

Note: Make sure mouse and keyboard are turned on

To screen share from a phone/windows device:

  1. Select ScreenShare in the input selection on the display
  2. On your device go to display settings
  3. Select "Connect to a wireless display"
  4. Select the name of the display showing on the display screen

When you are done:

  1. Log off the computer properly.
  2. Remove all USB devices and discs from their appropriate places.
  3. Turn off displays.
  4. Place the remotes back to their appropriate places.
