Customizing the Course Catalog in Self-Service

Ways that we can customize the list of courses/sections visible in the course catalog:

 

  1. Hide locations that are not used by typical students
    • Locations that are hidden will not show up in the Advanced Search list, nor the Locations filter in the course list.  
    • Courses/sections with those locations WILL show up when searched for and not filtered out.
    1. Open form LOCN in ColleagueUI
    2. Enter location code or use '...' to look up codes
    3. Enter Y in the Hide location Field - see screenshot 1
    4. Save the form
  2. Set sort orders for locations
    • Locations with Sort numbers will be sorted at the top of the Locations list in the Advanced Search
    1. Open form LOCN in ColleagueUI
    2. Enter location code or use '...' to look up codes
    3. Enter the Sort Order number in the Sort Order field - see screenshot 1
    4. Save the form
  3. Hide filter categories that are not used
    • Filter categories on the left of the screen can be hidden.
    1. Open form CLSP in ColleagueUI
    2. Find the type and change the 'Hide' field to Y - see screenshot 2
    3. Save the form
  4. Add locations to sections so they can be filtered
    • Meeting information is currently found in the Offering Info detail screen
    • Location field on the SECT screen is currently empty for 2025FA sections
    • Location field on the SECT screen is what is used by the Advanced search screen and the Filters list on the course list screen
    1. Open form SECT in ColleagueUI
    2. Enter a location in the Location field - see screenshot 3
    3. Save the form
  5. Add topics to sections so they can be filtered
    • Currently (May 2025) there are no Topic Codes defined in Colleague
    • The topic field could potentially be used to separate out different types of sections
    1. Open form TOPC in ColleagueUI
    2. Enter code and click 'Add' to add a new code, or enter '...' to look up existing codes.
    3. Enter description and save the form.
  6. Edit instruction methods to indicate online types
    • Course Catalog has an Instruction Type filter at the bottom of the list of filters, but it only has the options 'Online', 'Not Online', and 'Hybrid' - see screenshot 3
    • This filter appears to look at the 'Online' field in the Instruction Method, and categorizes everything in the above options.
    1. Open form ISTM in ColleagueUI
    2. Enter the instruction method code or use '...' to look up.
    3. Update the 'Online' field
  7. Edit course type list
    • Only a handful of courses are assigned a course type currently.  Only GenEd and Global Awareness.  
    • Add type UGO to specify a type as Undergrad Online
    1. Open form VAL in ColleagueUI
    2. Enter application ST
    3. Enter 'course.types' in the Validation Code ID LookUp box
    4. Add/Edit codes as needed
    5. Save the form
    6. Open form SECT in ColleagueUI
    7. Select/search for the section to edit
    8. Update the course type code at the bottom - see screenshot 5
  8. Add Special Icons to course types
    • See the Ellucian Document for details
    • An icon plus hover text can be added to a section listing based on the course type
    • See screenshot 6 for an example of what this could look like (icon shown is only a temporary placeholder and can be changed to whatever is appropriate)
    • Hover text can be defined in the Colleague Self-Service Administration > Resource File Editor and select SectionCourseCommonDetails resource file.
    • Edit the entry SpecialIconTooltip to describe the purpose of special icons
  9. Hide sections that should not be shown in the course catalog.
    1. Use form SECT and field 'Hide in Course Catalog'
    2. To hide multiple sections use Update Hide Section Flag UHSF process.
  10. Use External Linking to course catalog to select filters automatically.
  11. Set the search result view to table view
    1. Use form CPWP
    2. Set "Default Search Result Format is Table View" to Yes
  12. Hide Section listing elements from table view
    1. Use form CSLP
    2. Set Hide fields to true for section values to hide

 

For most of these changes, the Application Pool for the API will need to be recycled for the change to take affect in Self-Service. See this article for instructions.
