Standard Computer Configuration

Annually, IT determines standard computer configurations in consultation with key staff and faculty and in conversation with appropriate vendors. Currently, the standards are as follows:

  • Windows Desktop
  • Windows Laptop

Computer Refresh frequency

  • Desktops: 5-year life cycle
  • Laptops: 4-year life cycle
  • All other equipment: Excluded from refresh cycle

Deferring refresh requires approval from the Chief Information Officer

Computer Replacement Policy

  • IT will cover the cost of the refresh equal to the standard configuration of the employee’s existing computer (Windows Laptop or Windows Desktop).
  • Departments may not refresh technology with specs below the minimum standard set by IT.
  • Departments that desire alternative specifications that differ from the standard configuration are responsible for the cost difference.
  • Apple / Macintosh
    • IT will invest funding toward the cost of the upgrade equal to the Windows starting computer type, desktop vs laptop.
    • Equipment upgraded based upon the requesting department’s needs.
      • Example: an employee has an Apple Laptop (MacBook Pro), IT will fund the Windows type (laptop) toward the upgrade. The department will pay the cost differential between the Windows and new MacBook Pro selected.
  • Funding
    • IT funds one computer per employee with laptops generally reserved for those who need mobility or must be available from home.
    • Funds may not be applied to general use departmental laptops.
    • IT maintains a collection of laptops that can be checked out as needed by departments.
  • Early upgrade outside refresh / replacement cycle
    • Department covers the full cost of the new equipment.
    • IT provides no funding toward early upgrades.
      • Funding is outside of the refresh cycle budget.
      • Broken equipment is replaced out of replacement stock, generally the same generation as the broken equipment.
