Accessing Qualtrics

No need to build an account.  All faculty, staff, and students have access. Login using your <username>@cedarville.edu and password.

 

Building a Survey

Once you log in click on the green "+ Create Project" button at the top right and follow the steps.  Building a survey is fairly intuitive.  Click on the blue "Preview" button to view the survey and test it out.  May want to review the "Survey Options" tab.  This is where you shut down the survey on a certain date and time.

 

Distributing the Survey

Click on the "Distributions" tab and pick the desired method.  Typically one would select "Email" and use a link that can be shared.  Again, this is fairly intuitive.

Contacts

One can build a contact list to distribute the survey to.  Do the following in to build such a list:

  • In Excel or Notepad build a list of email addresses.  Make sure the column has a heading of "Email" and there is one address per line.
  • Open Qualtrics and click on the "Contacts" menu item in the upper left.
  • Click on "+Create Contact List"
  • Fill out the name of the contact list and enter a folder name if desired.  The folder name is optional.  Click on the "Next" button.
  • Click on the "Browse" button, browse to the file containing the email addresses and select it.  Follow the directions.

When sending out the survey the user can then select "Email" and select the contact list that was just imported.  Strongly suggest that a few test emails be sent.  Each link in the email should be thoroughly tested before blasting the survey out to hundreds of recipients.

 

Email Triggers

One can create an email response that will provide the survey and response that were just taken:

  • Near to top left under Survey, click Tools > Triggers > Email Triggers.
  • Fill out the following fields.
    • To Email Address: [where the email is sent to when a survey is submitted]
    • Subject: [best to use a descriptive subject for the recipients to adequately understand the contents of the email]
    • Check Include Response Report and Show Full Question Text to include survey questions and answers with in the message.
  • Fill out the name of the contact list and enter a folder name if desired.  The folder name is optional.  Click on the "Next" button.
  • Click on the "Browse" button, browse to the file containing the email addresses and select it.  Follow the directions.

When sending out the survey the user can then select "Email" and select the contact list that was just imported. 
Test the email trigger and links before sending the survey out to a group of recipients.

Require login

To require a survey responder to authenticate with SSO do the following:

  1. While in the survey editor click on the "Survey Flow" button.
  2. Add a new element at the top of the flow.
  3. Select "Authenticator".
  4. Fill in the following fields:
    1. Authentication Type:  SSO
    2. Uncheck "Associate Respondent with Panel"
    3. SSO type: Shibboleth
    4. Connection: Azure Login for Cedarville University

Themes

To create a survey theme, do the following:

  1. Within Qualtrics navigate to the "Admin" tab.
  2. Choose "Themes".
  3. Select the "+" sign.
  4. Fill in the following fields:
    1. Name: Appropriate Name of the Theme
    2. Style: Color of the Theme
    3. Logo:  The image provided by the requester (or logo image)
  5. Click Save.

Anonymous Responses

This feature should be used if you do not want to collect IP addresses or location data and wish to keep the participant's responses anonymous. Enabling this feature will ensure that IP addresses and location data are not connected to the participant's responses.

  1. After creating the survey, click on the "Survey Options" tab.

  1. Check the box for "Anonymize Response."

  1. Click the "Save" button.

Anonymous Link

This feature should be used if you want to distribute a link to a survey where names and emails are not associated with responses. Using this feature will allow anyone with a link to the survey to take the survey.

  1. Click on the "Get a single reusable link" button.

  1. Copy the provided link and post it in your recruiting document.
    1. You can customize the link as well.
    2. The anonymous link tab should be open by default.
