🔐 Add more granular permissions for who can submit your Kuali form

The Permissions Page on Kuali Build isn't quite granular enough to distinguish between Faculty, Staff, Temporary Staff, Adjuncts, etc, but there is a workaround, based on Account information available in Colleague. 
 
Here's the instructions: 
  1. Somewhere in your form, add a Data Lookup (Single Item) gadget.
    If you don't want it to show up for the submitter, you can flip the switch for "headless integration" and it won't be visible from the front end of the form.

  2. Choose the Integration source External Data > CDPAPI - Account Info Uploaded Image (Thumbnail)
  3. For the input to that integration, choose Submitter, then click the gear to choose Institutional ID Uploaded Image (Thumbnail)
  4. This new gadget will look up and pull in account info for the submitter while they're submitting the form. This information includes a few different properties (available under Add linked auto-filled gadgets). Probably the most useful for this circumstance is the User Type property-- it will be "FACULTY" for faculty and "ADJUNCT" for adjuncts. Other values include: TEMPSTAFF, STUDENT, STAFF, PIONEER, and RETIREE. Uploaded Image (Thumbnail)
  5. To make sure only Faculty can submit the form, you can add a Validation gadget, and add a condition like "Account Info - User Type" is "FACULTY" and give it a title like "Only full-time faculty may submit this form." Uploaded Image (Thumbnail)

 

Configured this way, Adjuncts and Staff can load the form, but will not be able to submit it due to the Validation error.
